The Opportunity
The Registration and Transfer Specialist assists the Registrar by managing the day-to-day operations of the Office of Records and Registration and liaises with the Office of Academic Affairs regarding processes affecting catalog changes, registration, and transfer credit. Additionally, this position provides immediate oversight of Degree Works, maintains course equivalency catalogs and CPL crosswalks, functions as the School Certifying Official for veteran’s benefits, serves as the primary designated school official for international students, and provides registration assistance to the non-matriculated and correctional student populations.
Duties and Responsibilities:
- Supervises the day-to-day operations of the Office of Recording and Registration window, under the general supervision of the Registrar.
- Manages staffing of the Records and Registration window and virtual office hours ensuring day and evening accessibility for students.
- Processes change of curriculum, incomplete grades, corrects transcript notations, and applies student attributes to records in collaboration with the Registrar.
- Coordinates review of degree applications, awarding of degrees, and distribution of diplomas.
- Serves as the primary point person for the non-matriculated student and international student populations – assisting them in the admissions and registration process.
- Evaluates transfer credits using functional equivalency tables and appropriate College software, including but not limited to Banner, Degree Works, and Transferology.
- Develops and maintains Transfer/Credit for Prior Learning catalogs and crosswalks in coordination with department heads and Academic Affairs personnel.
- Supervises the Degree Works Coordinator and leads the Degree Works working group ensuring the accuracy and ongoing development of the Degree Works platform.
- Serves as the College’s Veteran School Certifying Official, certifies student veteran documentation and liaises with the Department of Veteran Affairs when appropriate.
- Serves as Primary Designated School Official (PDSO) through Department of Homeland Security (DHS), updates and maintains Student and Exchange Visitor Information System (SEVIS) according to Department of Homeland Security regulations as well as monitors F-1 records for regulatory compliance.
- Acts as primary liaison with government agencies including DHS, U.S. Citizenship & Immigration Services (USCIS), Immigration and Customs Enforcement (ICE), and Consular Affairs Offices.
- Reviews and approves applications for change of status, employment authorization, and reinstatement and process all transfer requests; reviews and approves all USCIS (United States Citizenship and Immigration Services) required form letters.
- Acts as the liaison between the Office of Records and Registration and the partner correctional facilities.
- Other duties as assigned and commensurate with the scope of this role.
Required Qualifications
- Bachelor’s Degree or three to five years of experience in a student records environment required.
- Ability to work well within an increasingly diverse environment.
- Excellent written and verbal communication skills.
- Excellent computer skills with a strong attention to detail and ability to process data accurately.
- Ability to learn and process information quickly, accurately, and reliably.
- Ability to maintain confidentiality of records and information.
- Proficient understanding of all Federal and State regulations related to records management.
- Proficiency in working with relevant technologies, software, and systems (e.g. Banner, DegreeWorks).
- Proficiency with Enrollment Manager and Veteran’s Benefits.
Preferred Qualifications
- Master’s Degree with three to five years of experience in a student records environment required.
- Two-three years working with relevant technologies, software, and systems (e.g. Banner, DegreeWorks, TES/Transferology).
- Two-three year’s experience serving as VA school certifying official or providing direct support to veteran students.
- Two-three year’s experience serving as a PDSO or providing direct support to international student populations.
Salary and Benefit Information
Starting salary, $25.00/hour and will be commensurate with education and experience.
